THE ROLE
The Project Coordinator (PC) plays a critical role in supporting Writech’s fire protection projects by ensuring that every phase of delivery adheres to our internal quality management system, client-specific procedures, and regulatory standards. This role provides a structured, process-driven backbone to project execution enabling Project Engineers (PE), Project Leads (PL), and Construction Managers (CM) to focus on technical delivery while maintaining governance, documentation, and compliance. The PO ensures that project progress, risks, and deliverables are tracked accurately and reported in a timely manner, supporting Writech’s commitment to delivering industry-leading, compliant fire protection solutions.

ESSENTIAL CRITERIA
- 2+ years’ experience in project coordination, document control, or project administration within construction, MEP, or fire protection industries.
- Strong organisational and time management skills with attention to detail.
- Proficiency in MS Office Suite (Excel, Word, PowerPoint) and document management systems (e.g., SharePoint, Aconex, Procore).
- Understanding of construction workflows, commissioning processes, and compliance requirements.
- Excellent communication skills able to interface with project teams, clients, and external stakeholders professionally.
- Structured & Process-Driven: Ensures compliance and documentation are never an afterthought.
- Proactive Communicator: Flags issues early, keeps stakeholders aligned, and drives follow-up.
- Detail-Oriented: Maintains high accuracy across trackers and documentation.
- Collaborative: Supports engineers, leads, and managers without duplicating effort.
DESIRABLE CRITERIA
- Knowledge of fire protection systems, standards, and terminology (BS EN, NFPA, IS standards).
- Familiarity with ISO 9001 quality systems and compliance audits.
- Experience with project scheduling software (MS Project) is an advantage.
- Training in lean project delivery, document control, or project governance frameworks.
DUTIES & RESPONSIBILITIES
- Maintain master project trackers using our inhouse systems Frameworks (schedules, budgets, deliverables) and ensure updates are communicated to relevant stakeholders.
- Track critical milestones (design approvals, procurement dates, site installation phases, commissioning, and handover) against baseline schedule on TIDP.
- Provide weekly/monthly project dashboards summarizing progress, risks, and outstanding actions.
- Work closely with finance and PE’s to ensure monthly claims are accurate.
- Own the Commissioning trackers, project logs, and compliance checklists for each project.
- Conduct regular documentation audits to ensure readiness for client inspections, third-party audits, or handover.
- Ensure compliance with Writech’s Quality Management System (QMS), ISO standards, and client-specific governance requirements.
- Prepare and distribute meeting agendas, minutes, and action logs for project meetings.
- Support PE/PL/CM with the preparation of client reports, progress updates, and contractual submissions.
- Ensure lessons learned from previous projects are captured and shared for continuous improvement.
- Up-to-date project trackers and dashboards accessible to project stakeholders.
- Organised documentation repositories (digital and physical) ready for audit, client review, or handover.
- Accurate risk and issue registers to support proactive decision-making.
